Start with the fee structure, not the payment button
Before turning on online payments, get your fee structure itself accurately represented in the system — every class, every fee type, every scholarship or discount. A payment system built on top of an inaccurate fee structure just digitizes the confusion faster.
Run one term in parallel
Keep your existing collection method available alongside the new one for a full term. Some families will need time to adjust, and that overlap period is where you'll catch structural issues — a fee category that was missed, a discount that isn't calculating correctly — before they compound.
Reconciliation is the real win
The most valuable part of digitizing fees isn't the convenience for parents, though that matters. It's that every payment automatically reconciles against the ledger, closing the gap where cash handling and manual receipts used to create discrepancies nobody had time to track down.
